The problem

Benefit Printers has been printing custom items for 33 years, but entirely through physical locations and word of mouth — every order, big or small, meant a phone call or in-person visit to work out the details. That back-and-forth ate up staff time even for simple, non-negotiated small orders, where the only reason someone had to talk to a person first was to describe what they wanted printed and where. They needed a way to take those smaller orders directly online, while keeping the negotiation-driven conversation for bulk orders where pricing genuinely depends on quantity and specifics.

The approach

  • Split the ordering flow in two: a standard add-to-cart-and-checkout path (cash on delivery, no payment gateway needed since that's how the business already operates) for regular small-quantity orders, and a "Contact for Quote" path for bulk/negotiated orders that hands off straight to a WhatsApp conversation instead of forcing a quantity/price through the storefront.
  • Customization is captured as data, not conversation — each product can require custom text and/or an uploaded design file as part of adding it to the cart, so production-ready details arrive with the order itself instead of a follow-up email or call.
  • Built a full admin panel for day-to-day operation without developer involvement: product and hierarchical category management, a custom-options builder per product, the full order lifecycle (pendingconfirmedprocessingshippeddelivered, plus cancelled/returned), and a simple revenue/profit view by date range.
  • Handled the operational plumbing end-to-end: transactional order-confirmation email (Brevo SMTP), a Slack notification to the team the moment a new order lands, and a scheduled job that keeps the free-tier Supabase project from auto-pausing between orders.
